The group registration service enables you to register your delegates as a group and is available through the ESC website for companies and agencies to manage group registrations.
We remind you that Article L. 313-6-2 of the French Penal Code states: 'The act of selling, offering to sell… or providing the means for sale or assignment of access cards to a sporting, cultural or commercial congress…in a usual way without the authorization of the organizer…of this congress… is punishable by a fine of €15,000. The penalty is a fine of €30,000 for repeat offences.
For the purposes of the first paragraph, access cards are considered as all access tickets, documents, messages or codes, whatever the form or medium, giving evidence that the right to attend the congress has been granted by the organizer...'
In such an congress, the ESC reserves the right to cancel the corresponding registration(s) and to take legal action, without prejudice to any other civil or criminal action that may be brought.
Registrations should be made through one contact person responsible for managing the group. In addition to the general registration conditions, which can be found on the specific registration web page defined for each congres, by registering, you fully accept all conditions as further detailed:
- To register as a group a minimum of 5 delegates is required.
- New registrations can only be submitted by the group contact through the My ESC group account.
- Group registrations sent by post, fax or email will not be accepted.
- All groups from an EU country should provide a VAT number.
Email addresses
Email address must be provided for each delegate. Registrations made with an invalid email address (agency or general) will not be accepted. If the valid address is submitted at a later stage, the fee corresponding to the period when we receive this information will apply.
Valid information is not only important for the ESC but also for your attendees, so they can access the congress platform and receive important, ESC-related information and updates.
Registration of Association members by a group
Registration of the above-mentioned members can be done through group in “My ESC” following the below conditions:
- The ESC will not provide any information about delegate’s membership status and it is the responsibility of the person making the registration to provide the ESC ID and member status* of their delegates if they wish to register that delegate at the reduced fee. Care should be taken to ensure that the delegate has renewed their membership.
- In case the selected fee does not match the delegate’s membership status at the time of registration, the ESC registration team will change the registration to a standard fee and claim the difference between a membership and the standard fee.
- The standard fee selected at the time of registration cannot be changed to a member fee* at a later stage.

Duplicate Registrations
It is the group contact’s responsibility to ensure that each delegate is registered only once. Where any duplicate is identified, it can be cancelled without charge, but it cannot have its name changed. The group contact must inform the registration department before the congress starting date. Any duplicate badges given before or during the congress will not be refunded.
Payment
Please note that the deadlines refer to the date by which both the registration and full payment must be received.
Payment by credit card (VISA, Mastercard or American Express) can be made online services through our secure server.
For security reasons, under no circumstances should credit card details be sent by email or fax.
In case of additional payments for extra orders or adjustments, a secure payment link will be sent by email.
The group registration number should be used as the reference for any bank transfer and correspondence.

Please be aware that no refunds will be processed in case of cancellation of a registration
Name Changes
Please be aware that name changes are not possible. A new registration will need to be purchased.
In case of impossibility to attend the congress and to allow participants to continue their experience beyond the congress dates, we are pleased to inform you that all scientific content will continue to be available for two weeks after the congress, to be viewed at your leisure.
Certificate of Attendance
All delegates attending the congress are entitled to a certificate of attendance (including CME Credits where applicable). This can be downloaded on the delegates’ My ESC Account.
The certificates will only be provided to each individual delegate – sending certificates for an entire group is not possible.
Social Media
We invite your delegates to share the new science on their social media channels. Screenshots of the presentation are allowed in your posts, but please refrain from recording and posting any videos on your social media. This activity is not permitted.
Personal Data Privacy
It is important that the persons you register for the congress are advised of their rights in connection with personal data privacy. Please ensure that each delegate is made aware that of the Data Privacy Statement below.
Data Privacy Statement
The information collected during this registration process is necessary to provide you with an optimal user experience and networking opportunities during the congress.
Without this information, we will be unable to properly process your registration.
During the congress your online activity will be tracked and collected by the ESC. This will be used for reporting and statistical purposes; to assist in enhancing your experience; to inform you about ESC activities in a coherent and adequate manner and provide you with personalised suggestions and recommendations of pertinent content for you to visit.
The recipients of the data are ESC Staff managing the registration process. The data collected will be kept for a maximum of 5 years after your last transaction or activity with us after which time your My ESC account will be closed and financial transactions will be kept for a maximum of 10 years for legal accounting purposes.
Additionally, please be aware that your profile information and details will be shared with the sponsor of the Industry Session, Tutorial or Exhibition you choose to view. When accessing an Industry Session, Tutorial or Exhibition, the following data will be shared with the corresponding industry: title, first name, family name, age, gender, country, city, email address, and profile information. It may be used for marketing and communication purposes. More information is available in ESC Privacy and Data Security Policy.
In accordance with the chapter 3 of the European Regulation 2016/679 with regards to data protection, you have the right to request from ESC, access to and rectification or erasure of your personal data or restriction of processing concerning your data or to object to processing as well as the right to data portability.

You have the right to lodge a complaint with a supervisory authority, and for information, ESC has appointed a Data Protection Officer that you can reach at dpo@escardio.org.
Applicable Law and Litigation
These Terms and Conditions shall be governed and interpreted in accordance with French law without regard to any conflicts of laws principles thereof that would require the application of the law of any other jurisdiction.
Any disputes arising in relation hereto shall be submitted to the exclusive jurisdiction of the French Tribunal de Grande Instance located in Grasse, France.
